POSITION SUMMARY

Provides administrative and data entry support to the Finance Department and front office, with primary responsibility for entering and maintaining employee timekeeping and payroll information. Assists with payroll processing, employee records, agency billing records, reports, and other administrative functions. Provides part-time receptionist support by answering telephone calls and receiving visitors. Must maintain accuracy and confidentiality when handling employee and organizational information and work effectively with all employees, including individuals with disabilities.

ESSENTIAL FUNCTIONS

1.    Enters employee timecard information and assists with processing production employee payroll; runs payroll programs and reviews payroll proofs for accuracy; refers timecard discrepancies to appropriate supervisors;

2.    Assists with the weekly posting and maintenance of payroll records;

3.    Assists with the preparation and distribution of production employee checks and direct deposits on a bi-weekly basis;

4.    Prepares and provides payroll and other organizational reports as requested by staff;

5.    Assists the Accounting Department and front office with entering and maintaining employee payroll and general records for agency billings;

6.    Prepares employee timecard labels, badges, and related materials;

7.    Maintains employee attendance records and other company records accurately and timely;

8.    Performs part-time receptionist duties, including answering telephone calls, receiving visitors, and directing inquiries to the appropriate staff;

9.    Maintains confidentiality and accuracy when handling payroll, employee, and other organizational information;

10. Must be able to adhere to and follow all company policies, safety procedures, and quality standards;

11. Performs other job related duties as assigned.

 

POSITION QUALIFICATIONS

High school diploma with coursework or background in data entry; two years of office experience preferred. Must possess basic computer and data entry skills, strong attention to detail, and the ability to maintain accurate records. Must have effective communication and interpersonal skills and the ability and desire to work with all employees, including individuals with disabilities. A combination of education, training, and experience that provides the necessary knowledge, skills, and abilities to perform the responsibilities of the position may be considered.
